Adding your guests: type a name, paste a list, from your contacts

Three ways to add your households: type a name, paste a list (WhatsApp, Excel, Notes) or start from your contacts. Then the list and each household’s details.

In Tov, a guest is a household: one person on their own or several people, with a single link and a single reply for all of them. Tov never assumes “guest + family”: you decide how many people count in each one. Everything happens on the “Your guests” page (“Invite” step): at the top, the number of households and people, the search and the “⋯” menu. The first row of the list, “Add a household”, offers three ways to add.

“Type a name”

The form opens empty: only the phone shows a sample format, and nothing is chosen for you. Only the name is required (“Name”). The rest can wait:

  • “WhatsApp phone”: needed to send on WhatsApp. Write the number with the country code and a “+” (for example +1…). A landline can’t receive WhatsApp: “Add without a phone” still adds the household, and you’ll give them their link another way.
  • “People” (with − and +): the number of people expected, from 1 to 50, children included. The household can correct this number when replying.
  • For a wedding, “Side”: “Bride”, “Groom” or “Friends”; for another celebration, “Group”, if your list has groups. It is used to filter the list.
  • “Invited to”: this household’s ceremonies, written out as they are (for example “Chuppah + Reception”). Only the ones open to everyone are ticked by default; “Change” to add or remove some.
  • “More” (folded section): the name in the other script, the name on the card, the e-mail, “Language of their invitation” (by default, the invitation’s), notes for you only, and the maximum number of seats.

After “Add”, the panel stays open for the next household; “Undo” removes the one just added. If you close it with a name typed in, Tov asks whether to add it.

“Paste a list”

One household per line: the name, then the phone (and the e-mail if you have it). Tov recognizes names and numbers. You can paste from WhatsApp, a spreadsheet or the Notes app; a header row (name, phone, e-mail) is recognized and skipped. Up to 2000 households per paste. Each line is shown with what concerns it:

  • “Already in the list”: same phone number or same e-mail as a household on your list. A duplicate is recognized by number or e-mail, never by name.
  • “Landline: added without a phone”: a landline number, which WhatsApp can’t reach.
  • “No phone”: the household is added, but can’t be sent to on WhatsApp.
  • The × on a line removes it before adding.

Under “For the whole list”, you choose the side (or group) and the ceremonies for all these households. For those already on the list: “Leave them” or “Update them”. A report then tells you what was added, left or updated, with “See the households added”.

Info

A pasted list doesn’t say how many people each household has: set “People” afterwards, in its details.

“From my contacts”

“Phone contacts” (on Android) opens your phone’s address book. “Google Contacts” asks you to sign in to Google, then you choose. “My Tov address book” gathers the households of your past events. You choose who to add: nothing is imported without you.

The list: what is left to do

Households are grouped in cards: “To send”, “No phone”, “Already sent”. The “Send” tab shows how many households the invitation hasn’t been sent to yet. A household without a phone doesn’t count as sent.

  • The list is sorted by what is left to do: “To send”, “No phone” (“Complete” to add a number), “Already sent” (folded, “See all”) and “Withdrawn”. Each row shows the name, the number of people and the ceremonies, for example “4 pers. · Chuppah + Reception”.
  • “To check” appears when there is a possible duplicate or a household invited to no ceremony. For a duplicate: “Open” or “It’s fine” (remembered on this device). Households with no ceremony can be invited in one tap to the ceremonies open to everyone.
  • Replies are not on this page: they are in “Follow up”. The “Reply” filter (“⋯” menu, “Filter”) still finds who is coming, who isn’t and who hasn’t replied.
  • “Print the list” (“⋯” menu) opens a printable list. It contains your guests’ private contact details: destroy it after the celebration.

A household’s details

  • Tap a household to open its details. At the top, “See it as … will” shows its personal invitation, with its ceremonies only; “Their personal link” is copied with “Copy”, once the invitation is published.
  • “Send on WhatsApp” goes through the “Send” step, so the send is recorded.
  • If their invitation has already been sent or they replied, a banner says so before any change. What you change will show on their link. “Let them know on WhatsApp” tells them.
  • Then the same fields as when adding, and “Save”. “More”, at the top of the card, then “Remove the household”: a window shows the household and warns that its reply will be erased too; “Undo” stays possible for 10 seconds.

Several households at once

“⋯” menu, “Select”: tick households. The bottom bar offers “Send one by one”, which opens “Send” with only them, and “More”: “Invited to…”, “Side…”, “Remove the households” (confirmed with their names). “Cancel” leaves the selection.

Info

A co-organizer with viewer access sees only the numbers, in “Follow up”. If the owner ticked “Can see details” for them, they see the list read-only, with no personal link and no sending.

Warning

Adding a household sends nothing. They will get their link when you move on to the “Send” step.
